SAFRE Exhibitor Cancellation Policy

Cancellation Policy:

All cancellation requests must be received in writing by the NCSFA and sent to kris@ncsfa.com or tabitha@ncsfa.com. Refunds shall be made to Exhibitors subject to the following charges:

  1. If more than 60 days prior to Expo (June 15, 2026), fifteen percent (15%) of the total exhibit space rental fees shall be retained by the NCSFA.
  2. From 59 to 30 days prior to Expo (June 16 to July 15, 2026), fifty percent (50%) of the total exhibit space rental fees shall be retained by the NCSFA.
  3. If less than 30 days prior to Expo (July 16, 2026), the full amount of the rental fee shall be retained by the NCSFA.
  4. The agreement will also be deemed to be cancelled if the Exhibitor fails to occupy their space by their allotted move-in time on Wednesday for apparatus and equipment exhibitors and 5:00 pm on the Thursday for tabletop exhibitors. In this event, the Exhibitor will remain fully responsible for the total cost of the exhibit space.

If the Exhibitor fails to adhere to the cancellation policy, they will not be allowed to exhibit at future NCSFA/SAFRE events.
